Xero invoicing vs PaySorted

Xero is excellent accounting software, and most accountants love it. But it's built for bookkeeping, not for invoicing from a van and chasing customers. That's why many trades use PaySorted on the job and let it sync to Xero.

You don't have to choose

PaySorted syncs with Xero on the Pro and Business plans. Invoices, customers and payments copy across automatically, and when a payment lands in Xero, PaySorted spots it and stops chasing. You do the quick stuff on your phone; your accountant gets clean records in Xero.

Invoice limits on Xero's cheaper plans

Xero raised its UK prices on 1 September 2026. Its Simple plan (£7 + VAT) allows 10 invoices and is only for non-VAT-registered businesses; Ignite (£18 + VAT) allows 20. For unlimited invoices you need Grow at £39 + VAT (£46.80). PaySorted has no invoice limits on any plan, starting at £14.99.

Chasing built for trades

Xero can email reminders you write yourself. PaySorted is built around chasing: three ready-made tones, email and text, polite wording that sounds like a small business rather than a computer, a "I've paid" button for customers, and it pauses automatically if the customer replies. If a business customer still won't pay, it can work out late payment interest and help with a letter before action.

Easy on a phone

Xero is powerful, and with that comes a learning curve — reviewers regularly mention it. PaySorted is designed so that if you can use WhatsApp, you can send an invoice in under a minute, before you've left the customer's drive.

The verdict

Keep Xero for your books if you (or your accountant) like it. Use PaySorted for quotes, invoices and chasing on the go. Together you get paid faster and your accounts stay spotless — and PaySorted also works with QuickBooks, FreeAgent and Sage if you ever switch.

Moving is quick. Import your customers and unpaid invoices from a spreadsheet (CSV), and PaySorted starts chasing the overdue ones straight away. Set-up takes about two minutes, and free set-up help is there if you'd like a hand. Try it free for 30 days — no card needed.
